Tenancy Tips: Maintenance
Here are some tips and tricks on how to maintain your rental property!

How to Submit a Maintenance Request in AppFolio Portal
Navigate to the Maintenance tab, and select Request Maintenance. Enter a detailed description of the issue, upload one or more photos of the item needing attention (must select multiple photos at once from computer or camera roll), decide whether or not to give the property manager permission to enter with their key, then click Submit Request. On the next screen, select when a maintenance tech can address your maintenance issue. If you choose to provide preferred times, select 3 or more time slots, then click Submit.
How to Check on a Maintenance Request in Appfolio
You can view the high-level status of your maintenance request on the Maintenance tab. The status will range from received, to technician contacted, to technician scheduled, to completed. Select Check Status for a detailed view of all communication sent to you and a status timeline of your request.
ON-SITE TENANCY TIPS:
Furnace Filters
Air filters should be appropriate size and changed minimum every 60 days by tenants during occupancy. If you have pet(s) the minimum is every 30 days *If an HVAC issue is reported or found and filters have not been changed appropriately, the tenant is subject for entire repair cost + coordination.
Bulbs & Batteries
Light bulbs and any battery-operated utility is to be replaced by tenants during occupancy. We understand some of our rentals have very high ceilings. We recommend obtaining a tall ladder or you can contact us for further assistance if you would like to hire our handyman services.
Drains
If your drain gets clogged during occupancy due to hair, we recommend using drain-o. If it gets clogged due to a foreign object and you need immediate assistance, please contact us. Tenants are subject to be charged for coordination and removal.
Water Filters & Air Filters
Water and air filters are to be maintained by tenants and changed out every 6 months as needed.
Garbage Disposal Issues
When garbage disposals stop working, the most common solution is to hit the reset switch (located below the sink). If a foreign object has caused the jam please try to remove. If unable to do so you can contact UPM but renters are subject to charges if deemed responsible.
HVAC Issues
Have you changed the filters recently? If not change those first before reporting an issue. If the unit is still blowing air but the air is not cool, please turn the fan to the “on” position and the AC to the “off” position for the next 24 hours and then try to turn it back. Also, make sure to open utility closets to check the drain pans on the system. If full of water, then this is a sign the drain line is clogged and you need to contact UPM right away. Don’t forget to make sure batteries are changed in thermostats that require them.
Electrical or Outlet Issues
When electricity goes off in a section of a house or unit, typically something has tripped the breaker. Often by resetting the breaker (located inside a gray or green breaker box), the electricity will come back on. GFI outlets will “pop” anytime there’s a surge or unusual electrical activity, causing all of the outlets on the GFI circuit to stop working. To correct this, find the main GFI outlet and push the reset switch.
Winterizing Outdoor Faucets
Important and easily forgettable jobs are draining and disconnecting your hoses and winterizing your outdoor faucets (hose bibs). Properly maintaining your outdoor faucets can prevent them from freezing. If your hose bibs were to freeze, it could cause damage to the pipe and potentially burst and leak inside your home.
Front Load Washers
Front load washers can develop moisture and mold growth easily if not maintained. After each cycle you need to make sure the door is open to get ventilation to dry out properly or you need to wipe the seal. If the seal is not maintained and generates mold growth that damages the seal, you will be responsible for replacement costs.
Landscaping
If your rental has mowing services provided that means a mowing service of every other week in the season is performed. Mowing service does not include trimming or removing weeds/vines, that is responsible of the tenants to maintain during occupancy. Tenants are to make sure gates are unlocked and yards are clear of poop if you have dog(s) for the vendors to access the yards to mow.
Utilities
If you experience a utility outage, please be sure to check with your utility companies first to see if there is an outage in your area. You can also check their websites for their outage maps as well! f you do not see an outage in your area we recommend you contact the utility companies to make sure your account is in good standing and to report the outage to be investigated properly.

Trash, Recycling & Litter
Please check the Hub Nashville website to keep up to date on their pick-ups for trash and recycling. If you have a pickup issue or a damaged/missing cart you can put a request online through their website. https://hub.nashville.gov
